What is ABSENT?
If you do as following:-

  1. NOT login AND logout using VGMS (Thumbprint Attendance System) AND
  2. NO leave applied in LMS

You’ll be considered as ABSENT ==> SALARY DEDUCTION

Why considered ABSENT?
Because there is NO prove that you are working on that day, and if you are on leave there is NO prove on it either – in this situation Management will consider you as ABSENT thus your salary on that day will be deducted.

But I’m working NOT ABSENT!
If you are in these situation, you will NOT be considered as ABSENT:-

  1. You are NOT on Leave AND
  2. You CANNOT login AND logout using VGMS (Thumbprint Attendance System) because...
  3. You are doing one of these tasks:-
    a. Appointment
    b. Attend Course
    c. Conduct Training
    d. Meeting
    e. Road show

You need to provide the “ABSENT” info to your supervisor for approval. If approved, that information will be use for your salary processing. You will NOT considered as “Absent” and your salary will NOT be deducted.

How or where to provide the ABSENT info?
For Staff – to Submit

  1. Login to LMS
  2. Click “My Absent Detail” – by now you’ll see all your absent information
  3. Click “Add New Absent Info”
  4. Key-in all required information --> click “Next” button
  5. Check all the info --> click “Save” button
  6. Done! – You need to wait for approval!

For Supervisor – to Approve

  1. Login to LMS
  2. Click “Approve Absent” – by now you’ll see all your member’s absent requested information
  3. Click “Approve”
  4. Check the info & key-in approval comment (if any) --> click “Next” button
  5. Done!

Who should use the info?

Term & Condition

  1. Staff – Don't submit back dated info, the info should be submitted between 7 days before you are going to be “Absent”. In the case you need to submit back dated info, you need to request from the person who approve your absent, they will do it for you (e.g: Center Manager)
  2. Supervisor – You can submit the “Absent” info for your team member – It can be backdated!
  3. Don’t submit “Absent” and apply for Leave on the same day
  4. Don’t submit duplicate “Absent” info – e.g. you submit absent info dated 8 Feb twice.
  5. Please provide the supporting document when you apply for absent – if any.

How to cancel the leave?

Choose your condition:

If the “Start Date” is less or equal with today’s date – You CAN cancel the leave.
If the “Start Date” has passed today’s date – You CANNOT cancel the leave, in this case if you want to cancel only for selected date – Asks your supervisor to sent email to HRD - attach all the important info, we will make the adjustment for you!

My leave summary (eg: Years Working & AL Earning) is wrong, how to change it?

The summary will only change when the following occur:-
1) Your date of employment is today, or
2) Your date of employment has passed today date, and
3) You have applied for leave and waiting for approval
Example:
Your Date of Employment: 1st Jan 2004
Leave summary will change on: 1st Jan 2005 an above

I never take leave showed in my leave detail, what to do?

All leave detail was given by your centre (A&R Dept). Based on the info given we upload it to LMS. If you found mistake in your leave, please email the info to this address: HRD with subject: Leave Adjustment

I click Activation Link in my email but it showed page not found, what to do?

This problem only occurred if you opening Cosmopoint's email in Web Browser, To solve this problem follow these steps:-

1) Highlight the link
2) Right click the highlighted link
3) Select “Copy”
4) Open new web browser
5) Paste the address in the address text box
6) Enter – Done!

I login as ZZ but my leave detail belong to XX, what to do?

1) Close all other browsers
2) Open new browser and
3) Try login again

If the problem still persists, restart the PC and try login again

How to apply leave RL for 3 night classess?

The system accept your Earning Replacement leave only if you working on these day:
1) Sunday
2) Public Holiday
You have to find out the solution from your centre manager how to handle on this matter internally

My off day is on Friday and I working on Sunday, can LMS accept my leave on Sunday?

No, but as alternative, follow these steps:-
1) Click button "Add New Leave"
2) Select Saturday and
3) Mention in the descriptions that actually you applying for Sunday due to the system policy (and the original reason of your leave).
Note: The description should be easy for HR Dept to understand

I worked on Sunday/Public Holiday, I should get 2 days RL, but system give me only 1 day, what to do?

We developed LMS based on the policy given by the President of Cosmopoint, nothing we (LMS developer) can do until Mr. President ask us to change it. Meanwhile please contact President Office to make any suggestion or comment about this matter!

I worked on Saturday (after 1pm), I should get RL, but system reject my application, what to do?

We developed LMS based on the policy given by the President of Cosmopoint, nothing we (LMS developer) can do until Mr. President ask us to change it. Meanwhile please contact President Office to make any suggestion or comment about this matter!

I've transfer to another branch, how to update the info?

Contact HR Dept for that purpose, only they have the authority to change your info

Where is my leave summary?

There will be no leave summary, if no leave detail.

The staff has regisned, how to update the info?

Contact HR Dept for that purpose, only they have the authority to update the employee status

The new staff info not available in the system, how to add?

Contact HR Dept for that purpose, only they have the authority to enter new employee info into LMS

How to register as a user?

There are 4 steps you have to go through (all these steps are included in the “1st Time Login” module):-

1) You have to tell the system that you are valid employee by providing IC/Passpord & Staff No
2) You have to choose your User Name, Password and provide a valid Email address
3) An email will be sent to your registered Email address – you need to click the link to activate your account
4) After you click the activation link – you can now login to LMS!

to do the registration process, click “1st Time Login” located in Login Screen.

I've registered but I don't recieve any email, what to do?

Maybe you have registered with wrong email, but if you registered with correct email you should recieve the email in 24 hrs. Email your problem to HRD for solution.

I forgot my Password, what to do?

1) In the Login screen, click "Forgot Password" utility.
2) Key-in your User Name
3) Click button "Submit"
4) In 24Hrs an email will be sent to your registered Email address with the Password (temporary).

Note: After you received your temporary password, don't forget to change the temp password with your password.

I forgot my User Name, what to do?

1) In the Login screen, click "Forgot User Name" utility.
2) Key-in your registered Email address
3) Click button "Submit"
4) In 24Hrs an email will be sent to your registered Email address with the User Name.

Why I cannot login?

Before you can login to LMS, there are 4 steps you have to go through (all these steps are included in the “1st Time Login” module):-

1) You have to tell the system that you are valid employee by providing IC/Passpord & Staff No
2) You have to choose your User Name, Password and provide a valid Email address
3) An email will be sent to your registered Email address – you need to click the link to activate your account
4) After you click the activation link – you can now login to LMS!

If you haven’t done the above process, click “1st Time Login” located in Login Screen.

My leave detail is wrong, how to make the modification?

Contact HR Dept for that purpose, only they have the authority to make the correction

My Superior has change, how to change it in my profile?

Contact HR Dept for that purpose, only they have the authority to change your Superior

How to change my profile(DOB, address etc.)?

Contact HR Dept for that purpose, only they have the authority to change your profile

How to change Email address?

Contact HR Dept for that purpose, only they have the authority to change the email

How to change password?

1) Login to LMS
2) Click "My Profile"
3) Click button "Change Password"
4) Key-in Old, New and Confirmation Password
5) Click button "Save" -- Done!

How to apply for these leaves?

Staff - You are not allowed to apply the above leaves by yourself, you need to request from the person who approve your leave, He/she will do it for you (eg: Centre Manager)

Leader/Manager/President - Follow these instructions:
1) Login to LMS
2) Click menu "My Team Member"
3) Select the employee by clicking at the link "Leave"
4) Click button "Add New Leave" <-- You applying the leave for the selected employee
Note: No approval is needed (automatically approved by the person who apply the leave)

However you can apply these leaves by yourself:-

Who have the authority to apply these leaves for me?

The authorise person is the person who approve your leave (eg: Centre Manager). You cannot apply this leave by yourself, you need to request from them, he/she will do it for you.

However you can apply these leaves by yourself:-

Why some leave need to be request from authority?

This is a policy given by the President of Cosmopoint, in summary the president want to avoid misused leave by employee.
